# Apply records and track activity for a group

Start a group record when several animals received the same care or took part in the same event. For an **Animal profiles** group, Creatures keeps the group entry together and writes records to the included animal profiles.

For a group that tracks animals by number, records stay with the group, even after some animals have individual profiles. For separate animal records, create individual profiles and use an **Animal profiles** group.

## Add the record

Open the group's **Overview** tab and find **Add a record**.

1. Choose the **Record** type, such as **Vaccination**, **Medication**, or **Routine care**.
2. For an **Animal profiles** group, choose **Same details for included animals** when the date, product, result, and notes apply to everyone, or **Individual rows per animal** when details differ.
3. Complete the required fields and check the included animals.
4. Select **Preview record** and review the details.
5. Select **Apply to [number] animals** for a group of individual profiles, or **Save group record** for a group tracked by number.

The required fields change with the record type. For example, a vaccination asks for the vaccine name and date administered, while a reminder asks what is due and when.

Before saving, scan the included-animal list. A rule-managed group can gain or lose members as profiles change, but the completed record keeps the exact list used at the time. If one animal missed the treatment or needs a different value, leave it out or use an individual row instead of giving the whole group an inaccurate shared record.

## Review what was recorded

Open **Records** to see the group history. Expand **View record details** for the product, dates, how it was given, provider, notes, visibility, and number of animal records created. **View animals included** shows the exact profiles captured when the record was saved, even if group membership changes later.

Use **Undo** only when the group record itself was created in error. This reverses the group event and the records it created, not just the displayed card. Review the result before continuing, especially if teammates may already be relying on the individual animal histories.

## Follow the wider history

Use **Activity** for the timeline around the record, including membership and group changes. Use **Financials** when a cost or payment belongs to the group. Keeping care, membership, and money in their own tabs makes the group easier to audit without mixing unrelated events.
